Your phone company shouldn’t put you on hold.
When exploring an option to keep your business connected, you can easily become overwhelmed by options. What’s a reasonable price? How is set-up?
Service providers give a lot of information, but what are the most important questions for you to ask?
Does this cloud phone system have the features I need?
No two businesses are exactly the same. Different staff sizes, different CRMs, different call volumes to manage.
When researching a cloud phone service provider, try to be very clear about what features your business needs, what are nice to have, and which you’ll never use. And if there’s something you’ll never use… why pay for it?
At Reolla, we let businesses add or remove features as they scale, so you don’t have to pay for something your team isn’t using. Most popular features are setting up a call center, enabling SMS texting, voicemail to email, mobile apps, ring groups, faxes, playing music on hold, and call recording with AI transcript.
What are the fees (and are any hidden in the fine print)?
Pricing matters. Period. Is the pricing for the business phone system clear? Are there special promotions and then the price jumps? Is there a ‘starting at’ low fee that includes no features other than direct calling?
At Reolla, we value transparent, straightforward pricing that includes all the most important features and flexible options for you as you grow.
Can this provider give me the right number of extensions for my business?
Businesses come in all shapes and sizes, from solopreneurs to enterprise level employment.
Certain cloud phone providers may be a better fit for a certain organization.
Consider how many lines you currently need, what your five year plan is, and future desired growth. What is your call volume like? Do you need a dedicated receptionist, call center, or AI notetaker that connects with your CRM?
When you have a good idea of those questions, you’ll have a better idea of which provider fits your volume.
How much effort does it take to set up and install the system?
Cloud phone systems can be a DIY IT project. What capacity does your team have for tech troubleshooting?
You can sink a lot of hours into downloading the right software and setting up voicemail, call forwarding, and SMS texting.
Is that what you want your people to handle, or do you want a telecommunications specialist to handle more of the set up?
Does this provider offer me training and support?
Whether you do-it-yourself from the start or you have assistance with account set up, there will be questions. You’ll want to add another line, or you hire a replacement and have to reset voicemail and access. Or maybe you simply forget which button to hit to transfer a call.
When you’re comparing providers, ask about ongoing training and support. Are they good during onboarding and then leave you on hold every call after? Or can you reach someone to get real answers, not something autogenerated?
Some of these questions are a matter of taste and purpose. Big, small, fully remote or fully in-office teams have legitimate different needs in business phone systems.
But everyone deserves good communication.
Your team, your clients, and your phone provider should be on the same side, finding a reliable way to reach one another.
